Policies

  • Billing Process | 2026-2027 Yearly Session

For families enrolling during July or August 2026, the initial payment due upon registration will cover a prorated tuition amount for August. Because our official start date is August 17th, this initial charge is adjusted so you only pay for the portion of the month classes are in session.

Following the upfront prorated payment, the first full month tuition charge will be billed on September 1st.  Monthly billing will continue on the first of each month thereafter, until the session ends or enrollment cancellation is requested.

Cancellation requests must be submitted via email toinfo@hgymnastics.com and received no later than the last day of the month to not be billed on the 1st of the month.

Please note, Holiday and Gym Closures have been factored into the set monthly tuition price and the number of classes in attendance will vary month to month.

  • Billing Process | Summer 2027 Session

Current 2026-2027 Yearly Session classes will not continue into, or out of, our Summer Session. You must enroll in our Summer Session—an 8-week session—that is not billed monthly. Tuition for the full 8-week session is due upon enrollment.

  • Class Discounts

Any student enrolling in more than one class will receive a 20% discount on any additional class. Any siblings enrolled will receive a 10% discount. Discounts and coupons cannot be combined.

  • Class Cancellations

All cancellation requests must be submitted via email toinfo@hgymnastics.com.

To avoid being charged for the following month's tuition, cancellation requests must be received no later than the last calendar day of the current month. Tuition is automatically processed on the 1st of each month.

If your cancellation request is received after the last day of the month, your account will be charged on the 1st, and the cancellation will become effective for the following billing cycle.

Cancellation requests for all summer classes and camps must be received by June 1 to receive a full refund. No refunds will be issued after June 1.

  • Waitlists & Make-Up Classes

To maintain our low student-to-coach ratios and consistent class progression, we do not offer make-up classes, credits, or refunds for missed classes, including absences due to illness, vacations, scheduled gym closures, or holidays.

  • Class Evaluations

New families to Vernon Hills Gymnastics must schedule an evaluation to determine which class is appropriate for your child. We recommend all students new to gymnastics or tumbling begin at our Girls Rec 1 or Tumbling Level 1 class.

    How To Schedule an Evaluation:

To schedule an evaluation, please call our front desk at 224-504-2912.  Before calling, please setup an account on our Family Portal first.

  • Injury Process

If your child is injured or becomes ill and is unable to participate in classes for more than one month, please emailjamie@vhgymnastics.comwith a doctor's note outlining the diagnosis and anticipated return date.

Upon receipt of the doctor's note, we will reduce your monthly tuition by 50% to reserve your child's spot in class during their recovery.

If you choose not to hold your child's spot, you may cancel enrollment by following our cancellation policy and emailing info@vhgymnastics.com.

When your child is ready to return, they may enroll in any available class with openings. While we will do our best to accommodate your previous schedule, we cannot guarantee the same class day or time will be available.

  • Class Attire

Please have your student in a leotard or athletic wear/tight-fitting clothing.  No baggy clothing or denim.  Hair needs to be pulled back, no jewelry, no socks or shoes.

  • Drop-Off & Pick-Up Requirements

Parent & Tot: One parent or guardian is required to participate during class.

Preschool, Pre-K, and Mini Pre-Team: One parent or guardian must remain inside the facility for the entire duration of class. Parents may not leave the premises under any circumstances, as they may be needed immediately if their child requires assistance, becomes upset, or needs to use the restroom.

Kindergarten and Jr. Pre-Team: Parents are welcome to stay but are not required.

Recreational Gymnastics, Tumbling, Pre-Team, and Team Programs: These are drop-off programs. Parents should arrive promptly at the conclusion of class for pick-up.

    Pick-up

Students must be picked up promptly at the conclusion of their scheduled class. Vernon Hills Gymnastics cannot provide supervision before or after class. Repeated late pick-ups may result in a late pick-up fee at the discretion of management.

  • Class Safety Requirements

We work hard to create a positive and safe environment for children of all ages and capabilities to participate in our programs. Students must be able to participate independently, listen to their coach and stay with their class. This ensures a safe and productive learning environment for all students. In cases were a student finds it challenging to remain with their class, listen to their coach and participate safely, we will ask you for additional assistance. This includes, but is not limited to, a parent remaining on site during class or a one-on-one aide (provided by the family) to attend class weekly with the student.

  • Day-Off Camps

Day-Off Camps are not eligible for make-ups, credits, or refunds. Camps require a minimum enrollment and may be canceled if that minimum is not met. In the event of a cancellation due to low enrollment, a full refund will be issued.

  • Skill Trees & Move-Ups

We fully evaluate our students twice a year, in December and April. These evaluations give us a great baseline to track their growth and technique in their 'Skill Tree’.

However, our coaches are constantly monitoring every athlete's development during class. If a coach feels your child is ready for the next level at any point, they will make a formal recommendation with the appropriate director.

  • Team Tryouts

Students are invited to try out based on their current class level and readiness. To be eligible for our April 2027 tryouts, your child must meet the following criteria:

Xcel Bronze (Non-Competitive Team): Open to Girls Rec 2 Students

Xcel Silver (Competitive Team): Open to Girls Rec 3 Students

Because of the progressive nature of our team training, we are unable to accept new members during the season.

  • Private Lessons

    Cancellation Policy

If you do not show up for your scheduled lesson without any prior notice, a full lesson fee will be charged to the credit card on file. Unfortunately, we cannot accommodate no-shows, as our coaches’ time is valuable.
